What to expect from good staff scheduling software

  • Automatic scheduling

Sutja proposes a ready rota that respects wishes, skills and rest periods. You review and publish.

  • Lawful shifts

The Working Hours Act and MaRa collective agreement are checked as shifts are planned.

  • Cost in view

Labour cost and the upcoming payroll total update in real time, before shifts are published.

  • Shifts and HR together

Hours, leave, qualifications, the time bank and payroll data all stay in one system.

Intelligence add-on

Describe your staffing in your own words.

Type something like “always at least one cook in the kitchen”. The planning assistant turns it into a staffing requirement and shows which shifts it affects before you save it.

  • A requirement ready in seconds
  • See straight away if any shift would be short
  • For this period only or as a permanent rule

Set the rules once, shifts follow.

Staffing requirements say how many people and which skills each shift needs. Opening hours and public holidays live in the restaurant details, so the rota builds on top of them.

  • Requirements per shift and weekday
  • Skills such as food hygiene and alcohol licences
  • A reminder when holiday opening hours are missing

Analytics: Intelligence add-on

See the cost before you publish.

The period summary calculates costs, including agreement supplements and employer costs, while the rota is still a draft. Analytics compares planned, published and actual figures month by month.

  • Evening, night, Sunday and public holiday supplements itemised
  • Coverage and unassigned shifts
  • Cost per hour, week and team

The most common scheduling problems, solved

These show up in almost every workplace that runs shift work. Sutja solves them while the roster is being built.

  • Is scheduling scattered across spreadsheets and messages?

All shifts, wishes and changes sit in one view, not spread across spreadsheets and WhatsApp.

  • Does the roster accidentally break rest periods or CBA limits?

Sutja checks daily rest and collective-agreement rules on every shift and warns you right away, not at payroll time.

  • Do shifts always have the right headcount and skills?

You see staffing and required skills per shift, so under- or over-staffing does not catch you out.

  • Is time lost chasing substitutes?

Open shifts and substitute search are handled in the system, without a round of phone calls.

  • Can employees see their own shifts and have a say?

Employees see their own roster, submit wishes and handle swaps themselves on their phone.

  • What does the roster actually cost?

Labour cost and premiums are visible while planning, not only at the end of the pay period.

Is there a free version of Sutja?

Yes. The Free plan is free of charge and includes shift planning, absences and leave, and employee self-service for 1 location and 1 team, with up to 100 shifts per month. The number of staff is not limited. You can use it for as long as you like.

How much does Sutja cost?

Free is €0/mo. Roster is €49 per location per month (unlimited locations, teams, shifts and staff, plus payroll integrations) and Roster + Intelligence is €99 per location per month (AI, POS sales, weather forecast and advanced analytics). From the fourth location on, the price per location steps down. Large organizations can get a tailored Enterprise plan. Prices are exclusive of VAT.

Is there a free trial? Do I need a credit card?

You can try Intelligence free for 14 days, and no payment method is required. The trial ends automatically and is not billed unless you place an order.

How does billing work and what are the payment terms?

Plans are billed monthly in advance at the start of each billing period. The payment term is 14 days net, and the invoice is delivered as an e-invoice or by email. VAT in force (25.5%) is added to the prices.

Is there a lock-in period? Can I cancel anytime?

There's no fixed term – the subscription continues one monthly billing period at a time. You can cancel anytime from the Billing page in the service. Cancellation takes effect at the end of the current period, after which the workspace moves to the free Free tier.

What's the difference between the Free and Roster plans?

Free includes shift planning, labour-law interpretation, exception approvals, audit material, the energy index, absences and leave, leave accruals, annual leave and flextime, shift wishes, employment contracts and employee self-service for 1 location and 1 team, with up to 100 shifts per month. No plan limits the number of staff. Roster adds unlimited locations, teams and shifts, and payroll integrations. The Intelligence add-on adds shift optimization, the planning assistant, receipt recognition, POS sales, the weather forecast and advanced analytics.

Which collective agreements does Sutja support?

Sutja interprets the MaRa collective agreement for the hospitality, restaurant and leisure services sector. Rest periods, premiums and overtime are checked automatically when you plan shifts.

Which payroll systems does Sutja integrate with?

You can export payroll data as a standard CSV file that works with all common payroll systems. The file export is part of every plan, including Free. The direct Procountor integration is live, and integrations with Fennoa and Netvisor are being built. Direct integrations are included in the paid plans from Roster upwards.

Is there a mobile app for employees?

Yes. Employees can install Sutja on their phone's home screen as an app straight from the browser, without an app store. They see their own shifts, submit shift wishes and absences, and log their hours. Separate apps for the app stores are on the way.

How does onboarding work? Can existing data be imported?

Onboarding is self-service: a guided setup gets you started and you add employees in the service. We're happy to help with onboarding and importing your existing data – get in touch and we'll plan the best steps together.

Where is my data stored? Is Sutja GDPR-compliant?

You own the data you store in the service, and it's kept in Finland and the EU. We process personal data in line with our privacy policy and data processing agreement (DPA), and all our subprocessors operate within the EU.

Is support available?
