From a customer

“The best thing the industry has seen.”

More than staff scheduling.

A rota that follows your sales, the MaRa agreement interpreted for you, HR and an app of its own for your team. Everything a restaurant runs on, in one system.

What changes day to day.

Not a list of features, but what managers and staff notice from the first weeks.

  • No overstaffing on a quiet night

The rota follows last year’s sales, your restaurant’s data and the weather. People are there when the customers are.

  • Agreement errors caught before publishing

Rest periods, supplements and the balancing period are checked before the rota goes out. Mistakes don’t wait for payday.

  • Less admin for managers

Wishes, days off and shift swaps come in through the app, not as texts, calls and sticky notes.

  • Leave is visible early

Accrued leave, carry-overs and absences sit in the same calendar as the shifts. Summer gaps show up in spring.

  • Fair shift sharing

Workload and wishes are visible while you plan, so evening and weekend shifts are spread more evenly.

  • People stay

Shifts, hours and leave are on their phone, and they can swap shifts themselves. Life is easier on the floor too.

A rota that follows your sales and your restaurant’s data.

Shift roster

The whole week at a glance. Venue details sit above each day, and with Intelligence also sales and weather, so you see straight away where you have too many or too few people.

Automatic shiftsIntelligence

Type something like “always at least one cook in the kitchen”. The planning assistant turns it into a rule and shows which shifts it affects before you save.

Staffing needs

Say once how many cooks and servers you need and when. Build the need yourself or with the Intelligence planning assistant, and gaps show up before you publish.

Shift offers

An open shift is offered in the app to the people who fit. Accepting takes the shift, no phone round needed.

The MaRa agreement interpreted, leave and payroll data up to date.

MaRa agreement rules

Supplements, rest periods and the balancing period are calculated for every shift, so you see what a shift costs while you plan.

Leave and absences

See the whole team’s leave, wishes and absences next to the shifts. Record them straight from the calendar, and the agreement rules handle the rest.

Energy index

An early-support tool for managers. Workload is visible for every employee, so heavy stretches are spotted early and you can act before anyone burns out.

Hours and payroll data

Actual hours and supplements are collected at the end of the period. You see the period’s cost, and the payroll data is ready for payroll.

Employment contracts

Employment details, the agreement and working-time terms are on the employee’s card, and the contract is one click away as a PDF.

Invite your team

An email address is all it takes. Employees join with a code, no password needed, and complete their details on their phone.

Organisation and structure

Teams, locations and departments form the structure that shifts, permissions and reports follow.

An app of their own: everything they need for work, in their pocket.

Mobile app

Everything an employee needs for work: their shifts, wishes, sick leave, the location’s rota and messages in one app.

My shifts and the location’s rota

Employees see their own shifts as a calendar and the whole location’s rota: who is on the same shift and who they can swap with.

Wishes and sick leave

Employees enter day-off and shift wishes and report sick leave in the app. Managers see them right away while planning.

Messages and announcements

Location announcements and shift messages reach employees in the app, and an open shift can be accepted straight from the message.

Works with the systems you already use.

Sales come from the till and reservations from the booking system as the basis for shifts. Payroll data and expenses go to payroll and accounting without copying anything by hand.

Your employee data never leaves Europe.

Rosters, pay details and absences are the most sensitive HR data there is. In Sutja it stays in Finland, and the whole service chain is European.

Rosters, pay details and absences are the most sensitive HR data there is. In Sutja it stays in Finland.

  • Servers in Finland

The service, database, files and sign-in run in the Finnish provider UpCloud's data centres.

  • Traffic served from EU nodes

The restriction to EU nodes is written into the data processing agreement, not just promised on a marketing page.

  • Every sub-processor is European

The list is public, and no US provider ever processes your workspace data.

  • Encrypted at rest as well

The most sensitive data is encrypted with a key of its own for each workspace, and the master key is never kept in the database.

Planning

How does Sutja build the rota?

Automation drafts the period from the restaurant’s details, staffing requirements, skills and employees’ preferences. Rest periods and the agreement’s limits are built in from the start. The manager edits the draft and publishes it once it looks right.

Can I see sales and weather while planning?

Yes, with the Intelligence add-on. Hourly till sales and the weather forecast appear on each day of the rota, so you can staff to demand. Sales are imported from your POS as a file, for example from OPEN One.

How do open shifts get filled?

An open shift is offered on a single candidate list. Skill requirements narrow down the candidates, and the employee accepts the offer themselves. You choose the order of the offers in the workspace settings.

Agreement and pay

Does Sutja check the MaRa agreement’s rules?

Sutja interprets the MaRa collective agreement for the hospitality, restaurant and leisure services sector. Rest periods, premiums and overtime are checked automatically when you plan shifts.

How do hours reach payroll?

Actual work is recorded and approved shift by shift, and supplements are calculated onto the right pay types under the agreement. Every plan exports payroll data as a standard file. Procountor receives it directly over the API and Mepco as its own payroll file; direct integrations come with the Roster plans. Netvisor and Fennoa are coming soon.

Do holidays and annual days off show up?

Yes. Holidays, leave requests and absences sit in the same calendar as the shifts, and annual leave and annual days-off balances stay up to date. You can record an absence straight from the calendar.

Your team

Do employees need an app of their own?

Yes. Employees can install Sutja on their phone's home screen as an app straight from the browser, without an app store. They see their own shifts, submit shift wishes and absences, and log their hours. Separate apps for the app stores are on the way.

How do I get employees on board?

Invite them by email: choose a role and enter the addresses. The employee joins with a code sent by email, with no password, and fills in their own details on their phone. You approve the bank account and skills with one tap.

AI and structure

What does Sutja use AI for?

Two things. The planning assistant turns a written sentence into a staffing requirement, and receipt recognition reads the details from a photo of a receipt into an expense. Both are part of the Intelligence add-on, and the workspace can switch either one off. Customer data is not used to train AI models.

Does Sutja work for several locations?

Yes. Teams, locations and departments form a structure that shifts, permissions and reports follow, and the organisation chart shows who is responsible for what. Free covers 1 location, and the Roster plans have no limit on locations.
